Administrative Assistant

Since 1977, Medical Care Development International (MCDI), the international division of US-based not-for profit Medicare Care Development (MCD) uses practical, evidence‐based and high‐impact approaches to strengthen health systems in developing countries and to improve the health of vulnerable populations. MCDI has implemented public health programs in over 40 countries in collaboration with donors, national governments, the private sector, health agencies, communities and local stakeholders to improve health and save lives in the following areas: water, sanitation and hygiene; malaria control; maternal, neonatal and child health; tuberculosis; HIV/AIDS; and other communicable diseases.

We are actively seeking a full-time Administrative Assistant based in the US, to provide support to the International Division in facilitating daily office operations and administrative needs in the Silver Spring office. This position will also provide finance support to both the International and Corporate divisions.

Duties and Responsibilities
• Assist management in assessing the costs, benefits, and logistics of new administrative procedures and related vendor relationships.
• Assist management in the implementation of administrative policies and procedures
• Ensure document storage is organized and maintained in line with MCD retention policies
• Assist the Human Resources department with onboarding for new employees
• Manage and support travel logistics for domestic and international travel to and from overseas offices
• Assist in distance training for overseas administrative staff
• Working with management to register and maintain registration in countries where MCDI works or may potentially work
• Manage corporate credit card expenses and reporting
• Bank statements’ reconciliation
• Front Desk Support ( i.e., answering and directing all incoming calls to the office, processing incoming and outgoing mail and packages)
• Communicate with the property management regarding any office maintenance issues or requests
• Communicate and coordinate with vendors and visitors
• Send regular communications to staff on building notices as well as other administrative updates, as needed.
• Expense tracking for expense monitoring
• Purchase office supplies, and track and maintain supplies’ inventory

Qualifications, Skills, and Experience
• Bachelor’s Degree required.
• Working knowledge of current Microsoft Office software programs
• Must be able to organize, track, and prioritize workload, work independently, and work cooperatively with others and exercise good judgement.
• Effective verbal, listening, and written communication skills
• Ability to meet deadlines and work under pressure.
